LetsPlay Cancellation Policy
This policy explains what happens when you cancel your spot in an event, when a host cancels an event, and how refunds work. It applies to everyone using LetsPlay. By joining or hosting an event, you agree to this policy.
All amounts are in Canadian dollars (CAD).
1. The 12-hour rule (the short version)
Almost everything in this policy comes down to one rule:
Cancellations close 12 hours before an event’s start time.
Up until 12 hours before the event starts, participants can cancel their spot and hosts can cancel their event. Inside the final 12 hours, spots and events are locked in. This gives everyone attending a fair, reliable headcount.
Two exceptions override the lock: deleting your LetsPlay account (section 9) and blocking someone (section 10).
2. Free events
- Leaving an event: You can leave a free event any time up to 12 hours before it starts, directly from the event page.
- Within 12 hours of the start: You can no longer leave the event in the app. If you can’t make it, we ask that you let the host know as a courtesy.
- No money is involved, so no refunds apply.
3. Paid events — cancelling your own spot
- More than 12 hours before the event starts: You can cancel your spot from the event page and you’ll be refunded automatically.

Your refund = everything you paid except the payment-processing
fee.
The event price and LetsPlay’s service fee are returned to you;
the card-processing fee charged by our payment provider is not
refundable.
- Example: for a $10.00 event you pay $10.92 at checkout ($10.00 event price + $0.30 service fee + $0.62 payment processing). If you cancel in time, you get $10.30 back.
- Within 12 hours of the start: Your spot can no longer be cancelled and no refund is issued. The app shows you this cutoff before you join an event that starts soon.
- Refund timing: Refunds are issued immediately on our side and typically appear on your statement within 5–10 business days, depending on your bank.
4. Host cancellations
- A host can cancel their event any time up to 12 hours before it starts.
- If a host cancels a paid event, every participant is refunded 100% of what they paid — event price, service fee, and processing fee. LetsPlay absorbs the processing cost. (Except a payment you have already disputed with your bank — see section 6.)
- Within 12 hours of the start, hosts can no longer cancel the event in the app.
- Late cancellations are tracked. Cancelling an event less than 48 hours before its start is recorded as a late cancellation. Hosts who repeatedly cancel late may temporarily lose the ability to host events.
5. Host no-shows (paid events)
If you paid for an event and the host didn’t show up:
- You can report a host no-show from the event page, starting one hour after the event’s scheduled start time and for up to 24 hours afterward.
- A report pauses the host’s payout for that event while our team reviews what happened.
- If we confirm the host didn’t show up, we will refund affected participants in full. Reviews are typically completed within 5 business days, and the host’s payout stays paused until the review is finished.
6. Payment disputes (chargebacks)
If you dispute a charge through your bank or card issuer, that payment is handled by your bank’s dispute process and can no longer be cancelled or refunded through the app. If something went wrong with an event, please contact us first — refunds through LetsPlay are usually much faster than bank disputes.
This applies to every refund described in this policy. A payment already in dispute can’t be refunded through the app — including when a host cancels an event, when LetsPlay removes an event, when a host deletes their account, or when a block removes your spot.
7. Events cancelled or removed by LetsPlay
If we cancel or remove an event (for example, for violating our Terms of Service), all paid participants receive a full refund, except payments already disputed with your bank (see section 6).
8. When events change
Hosts can edit an event’s title and description. Nothing else about an event can change once it exists — not the sport, date, time, location, price, or participant limit. If any of those need to change, the host has to cancel the event, which refunds every paid participant, and create a new one. So the event you joined is the event that happens, or it doesn’t happen at all.
9. If you delete your account
Deleting your LetsPlay account isn’t the same as cancelling, and it overrides the 12-hour lock in both directions. Full detail is in the Account Deletion Policy.
- If a host deletes their account: every upcoming event they host is cancelled and all participants are refunded in full — even inside the final 12 hours. Once the host is gone, nobody is left who could cancel the event, so leaving it live would send players to a game with no organiser.
- If a participant deletes their account: they give up their spot in every event they’ve joined — free or paid, inside or outside the 12-hour lock. Outside the 12 hours the spot is refunded in full. Inside it, the spot is forfeited and no refund is issued, but the seat is still released, so the headcount drops by one.
10. If you block someone
Blocking takes effect immediately and removes both of you from each other’s upcoming events, which overrides the 12-hour lock.
- If someone you block has joined an event you host: they are removed and refunded in full. They are told the host removed them from the event; they are never told that you blocked them.
- If you block the host of an event you joined: you are removed and no refund is issued, even outside the 12 hours. Cancel your spot first if you want your money back — the app warns you before you confirm. If you later unblock them and rejoin that same event, you are not charged again — your original payment still holds your place, as long as the event hasn’t filled up in the meantime.
- If you block another participant and neither of you hosts the event, nothing changes and you both keep your spots.
11. Questions or problems
If a refund doesn’t arrive, or you believe this policy was applied incorrectly, contact us at support@letsplayapp.ca and include the event name and date. We’ll make it right.
This policy is part of the LetsPlay Terms of Service. We may update it from time to time; material changes will be announced in the app before they take effect, and the effective date above will be updated.
